1. Apologies and Attendance

Chris welcomed everyone to the second affiliation meeting.

  • Apologies were received from Catriona Rawlins and Anna Kent-Muller.
  • Jamie Hanna was absent without apologies.

Jade Head (student) and Rebecca Holman (Student Activities Coordinator - Sports Development) were also in attendance.

2. Approval of minutes from last meeting (Thursday 27th November)

The minutes were approved by the committee.

Decision The minutes from the meeting on 27th November were approved.
Affiliations
3. Affiliations
  • Mature Students and Student Parents Network (MSSPN): The By law for MSSPN has already been approved by the Democracy Zone Committee (minutes); the Student Groups committee were required to vote on disaffiliating Mature Society and affiliating MSSPN as a Union Group. The Committee moved to a vote; 5 voted for and 1 abstained. The MSSPN were admitted as a Union Group.
  •  Multicultural Talk and Weekly Presentation: This group were unable to attend this meeting; they will be invited to the next affiliation meeting.

 

  • Lebanese Society: It was decided that this group met the criteria outlined in Rule 11, section 2. Committee moved to a vote; 4 voted for, and 2 abstained. This group was AFFILIATED and assigned to the Student Communities Zone.

 

  •  Acro Yoga: It was decided that this group met the criteria outlined in Rule 11, section 2. Committee moved to a vote; 3 voted for, and 3 abstained. This group was AFFILIATED and assigned to the Sports Development Zone. Chris advised Acro Yoga that they should nominate a committee member to be responsible for health and safety issues. He added that the group need to elect a treasurer as well; currently, the president is holding both these roles which is not allowed.  

 

  • Southampton University Challenge Society: It was decided that this group did not fulfil the criteria outlined in Rule 11, section 2. Committee moved to a vote; 3 voted against and 3 abstained. This group was not affiliated. The group were advised to get in contact with the University of Southampton Quiz Society and see if they can work together with them as both groups have similar aims and objectives. Megan Downing asked the group to get in contact with her and she will look into arranging a meeting between the two groups.

Megan Downing left the meeting.

  • Crime Forensics and Investigation: It was decided that this group met the criteria outlined in Rule 11, section 2. Committee moved to a vote; 4 voted for, and 1 abstained. This group was AFFILIATED and assigned to the Education Zone.

 

  • Southampton University Barbecue Society: This group did not attend the affiliation meeting and therefore were not affiliated.

Megan Downing and Katie Lightowler entered the room.

  • Brazilian Society: It was decided that this group met the criteria outlined in Rule 11, section 2. Committee moved to a vote; 3 voted for, and 3 abstained. This group was AFFILIATED and assigned to the Student Communities Zone.

 

  • Cameroon Catalyst: The application was not able to be considered as the relationship with the Cameroon Catalyst Charitable Incorporation Organisation (CIO) was unclear (charities are not able to be affiliated directly to SUSU). It was suggested that they make a seperate application as a student branch of the CIO. They agreed to discuss the matter further with their group and to return to a later affiliation meeting.

 

  • Bollywood Dance Society: It was decided that this group met the criteria outlined in Rule 11, section 2. Committee moved to a vote; 5 voted for, and 1 abstained. This group was AFFILIATED and assigned to the Creative Industries Zone. Chris advised the student group that they should nominate a committee member to be responsible for health and safety issues. He added that the group need to elect three different people to hold the role of President, Secretary and Treasurer.

 

  • Banking and Business Society:  It was decided that this group did not fulfil the criteria outlined in Rule 11, section 2. Committee moved to a vote; 3 voted against and 3 abstained. This group was not affiliated. Chris advised the group to get in contact with existing student groups who have similar aims and objectives to them.

Jithin left the meeting.

  • Chamber Music Society: It was decided that this group met the criteria outlined in Rule 11, section 2. Committee moved to a vote; 3 voted for, and 1 abstained. This group was AFFILIATED and assigned to the Creative Industries Zone.
Group Requests
4. Support Package changes

This item was taken out of order (inbetween affiliations).

  • Salsa Society would like to change their support package to Yellow. The committee moved to a vote: 5 voted for and 1 abstained. This request was APPROVED.
5. Zone changes

No Zone changes requested.

6. Constitution changes

This item was taken out of order (with Item 8).

  • Anime and Manga Society have adopted the new format of the student group constitutions. The committee moved to a vote to approve this change; 3 voted for and 1 abstained.
  • University of Southampton Figure Skating Club have removed the position 'Socials and Fundraising Secretary (2)'. The committee moved to a vote on this change; 2 voted for and 2 abstained.  
Any other business
7. Groups to be disaffiliated

This item was taken out of order (inbetween affiliations).

Jithin informed the group that the Mauritian Society are still active and have recently updated their 2014 committee page, and asked that they are removed from the list of groups to be disaffiliated. The Committee were happy with this.

The Committee moved to a vote to disaffiliate the groups listed below; 4 voted for and 1 abstained.

The followings student groups were disaffiliated:

  • African, Maritime, Finance, Oil and Gas Society
  • Azerbaijan
  • Engineers without Borders
  • Nordic Society
  • Northern Ireland Society
  • Philosophy Society
  • Poetry Society
  • Society for the Appreciation of Permaculture, Allotments and Mud
  • Society of Clinical Anatomy
  • United as One Society
  • Tenpin Bowling
  • Drum Circle
8. LGBT Society Constituion change

The LGBT Society have created a new position on their committee, the Winchester Officer. It was agreed that the word 'shortly' in section 6.9 would be removed to avoid any confusion or misinterpretation of this section. 

Committee moved to a vote on this constitution change; 3 voted for and 1 abstained. The committee approved this change on the condition that the above change is made.  

9. Late requests

This item was taken out of order (inbetween affiliations).

  • Afrodynamix Dance Society would like to change their support package to Red. The committee moved to a vote: 5 voted for and 1 abstained. This request was APPROVED.
10. Date of the next meeting

The date of the next meeting is Wednesday 4th February. Invitations will be sent out to the committee members.
