1. Attendance and apologies

2. Review and Release Previous Minutes

 

Actions carried forward:

CS to work to include details of Student Life in Nightline voicemail.

IC to add societies to facebook group, and make DS an admin.

IC to bring up national food waste at next Southern Unions meeting.

 

Previous minutes approved and released.

3. Officer Updates

 

Decision on Zone aim for all officers – to increase student knowledge of support services.

 

CT – see attached officer report.

Additional discussion:

House harmony – working with Cluttr.

Unused drives – lots of interest in getting a space, but no one offering spaces. May need to raise awareness among residents. CT will contact Charlesbury Highfield Residents’ Association to share in their newsletter. IC to look into laminated posters in the area, or possibly marketing going out to staff. IC and CT to discuss paying for facebook advertising.

 

DS

DS to contact committees of societies to introduce himself.

IB to send date of next LAYM to DS to be shared with societies.

IC to send list of support services to DS.

Additional discussion:

It would be worth thinking about international students with regards to homesickness, especially those who are not able to go home in the holidays.

Student Life Team are doing events over Christmas:

The Christmas events on the 24/25/26th will all run 19.00-23.00 and will be held at Glen Eyre, Mayflower and Wessex Lane.

 

24th will involve Mocktail making and music

25th will be traditional party games with small selection of food

26th will be a big quiz of the year

 

Our New Year’s Eve event will again run at the same three sites, from 8pm till after midnight. Our staff are finalising details of this and should have details with me shortly.

 

In order to give students at smaller sites an opportunity to attend an event if they’re unable to make it to a larger site, we will be holding a New Year’s Day event at City Gateway and EP from 19.00-23.00.

 

EW to do an introduction and conclusion for support service video (liaise with IC). CT also interested. Potential to reference the Faith and Reflection Centre.

Additional discussion:

IC, IB and CS to look into providing free breakfasts again as incentive for volunteers.

IC, IB and CS to look into priority counselling for Nightline volunteers with Enabling Services.

IC, IB and CS to discuss contribution from zone budget towards ‘Volunteer of the Semester’ prize.

CS to promote STRIVE scheme to Nightline volunteers.

IB to speak to Sonia re use and purpose of Nightline budget.

CS and IC to work on sorting out the different Nightline email addresses and poor Wifi with iSolutions.

Nightline expecting a surge of calls around exams and start of term.

4. Housing Fayre

 

Housing Fayre having 2 themes – Housing and Life Skills.

Invites are being sent currently.

Zone keen to keep some aspect of ‘Adulting’ in the marketing.

Opportunity for social media marketing, e.g ‘How have you adulted this week? Made a standing order/wrote a cheque/found the water meter etc.’, and ‘If I’d known…’-style testimonies.

Other ideas for fayre: cheap cleaning hacks, how to store food properly to minimise food waste, what food is in season?

5. YAMT

Zone happy with upcoming events.

6. Time to Talk Day

 

IB and IC currently attend anti-stigma meetings with the council. This corss-organisational group are hoping to put on an event for Time to Talk day. If anyone has ideas they would like to feedback to the group, please let IB know on i.bartlett@soton.ac.uk

Ideas for campus activity:

Collaborate with Mind (who are already doing their own event)

Provide a space with tea, biscuits and conversation starters.

For 7 minutes one person talks and the other person can only listen, then swap. Could happen while going for a walk, or at the beginning of lectures? IC to talk to Kevin Partington to discuss lecture starters (although be mindful that the same student will not want to do this at every lecture in a day).

Opportunity to promote peer support groups that already exist.

DS – Humanist Society currently reaching out to Student Minds about the possibility of starting an Alcohol Abuse Support Group.

Time to Change support their volunteer ‘Champions’ with training on how to run events etc., which would be worth promoting.DS

7. Officer Emails

 

IC to look into setting up Clubs and Socs Rep email for DS.

Officers to set up ‘out of office’ on email accounts, stating how regularly the accounts are checked, when they can expect a response, and alternative ways of contacting (e.g. facebook) OR vice versa.

8. AOB

 

Officers to send a suitable time and date for 1:1 sesions to IC.

 

Next zone meeting to be Friday 8th February, 10.30am-12pm.
