2. Matters Arising

Investigate why Resident Support at Glen Eyre shut the laundry room without informing the students: Complete, Oli Coles [OC] was told that this was due to a leak although Glen Eyre JCR were told that is was shut due to vandalism. 

Contact Highfield JCR for a written report: Highfield are in attendance today so can update during this committee.

Discuss lack of JCR engagement with [EP]: Complete

Have a meeting with resident support about current student issues: Compete.

Discuss the possibility of a jailbreak event with each JCR Hall Committee: Cora Phillips [CP] is in attendance to discuss jailbreak event.

Inform JCR RAG committee about this idea: Complete.

To discuss a JCR noticeboard in Monte with Resident Support: Complete.

3. By-Elections

OC asks that each JCR give an update on their committee: 

  • Archers Road might have one vacancy which is the RAG officer. 
  • Bencraft has no vacancies 
  • No representatives of Chaimberlain are present but the president Aaron Scott [AS] informed the SUSU staff that their RAG officer position is vacant. 
  • Connaught has no vacant positions 
  • Erasmus Park has no vacant positions 
  • Glen Eyre’s events officer position is vacant. 
  • Highfield’s social media officer position is vacant. They also state that someone wants to be the sports officer. 
  • Monte has no vacant positions 
  • Liberty Point has no vacant positions 
  • Private Rented’s social media officer position is vacant 


OC states that anyone missing a JCR t-shirt should email Karik Isichei [KI]

Archers Road state that the person who ran for RAG officer still wants this role. Leighton Osbourne [LO] to email OC about the new RAG officer. 
Glen Eyre states that there are two people who want to fill the events officer role.
Private Rented states no one has come forward for the role of social media officer.
Highfield state that Will Reynolds wants to be their sports officer.

4. President's Report

LO reports on behalf of Archers Road:

Their work with resident support has been really good. They spoke to resident support and identified that communication is something they need to both work on. Resident Support wishes to rebrand their events and be a part of the Bunfight. Archers Road are planning a joint event with Chamberlain and are waiting to hear back from Jenna Cox (SUSU events manager) about a Café Parfait event. They have also discussed what they want to achieve for Freshers’ Week. It was also mentioned to them that a key to one of their pool tables is held somewhere on Highfield campus. 

 

Sudeep Ale [SA] reports on behalf of Bencraft:

Bencraft JCR have been discussing the Jailbreak and is meeting with RSA this weekend. They are planning to do a big event after the Easter break. They suggest that they might want to join onto the Café Parfait event.

 

OC states that Chamberlain will be asked to submit a written report as they are not in attendance. This will be the normal process for any JCR that are not in attendance at a meeting.

There hasn't been a lot for us to get up to, however us and Archers are currently organising an event for after Easter, and we have had a meeting with the residence support team like the other halls.

 

Ruphina Ochanda [RO] reports on the behalf of Connaught:

Connaught wants to do a welcome back event with Monte but have had no replies from Monte concerning these events. They also report that they have had a meeting with Resident Support.

Emily Postle [EP] reports on behalf of Erasmus Park:

There has been a lot of discussion and attention towards their common room. They now have a much better relationship with RSA, and want Erasmus Park JCR to help rebrand their events. They are trying to increase their engagement with the students. Nothing will happen with Erasmus Park events until mid may due to deadlines.

 

Flora Noble [FN] reports on behalf of Glen Eyre:

They also have had a meeting with Resident Support they discussed rebranding events, helping promote events and the common room. They are looking to host a large outdoor event after the summer exams. There is a cupboard in Glen Eyre with t-shirts inside. They have been told that the key for the cupboard is apparently help by the bar staff. 

 

Louisa Reid [LR] reports on behalf of Highfield:

They have their Resident Support meeting tonight and will be bringing up current their issue with WiFi; the routers have been installed but the WiFi is still not working. They will also be bringing up an issue with food; it is getting very repetitive and there are unnecessary restrictions on food choices during breakfast. They have made a poll to get a sports team together; the choices were ultimate frisbee and rounders. Highfield are planning to do a Laser Quest event after the Easter break.

OC states that the WiFi is not planned to be working until September.

 

Daniel Varley [DV] reports on behalf of Liberty Point:

Liberty Point had their wine social last night; it had a good turnout (at least 70-75). They are currently discussing the possibility of making a Freshers’ pack. It would contain maps, where not to go at night, etc. They want to make a summer event where they will go to the park. They have increased the number of SUSU posters around the Halls to get students into SUSU events. 

 
Daniel Rakes [DR] reports on behalf of Monte:

Monte spoke to Resident Support about a mini-street carnival in the summer. They also wanted to know when they should we start planning Freshers’? They heard that the Playzone trip went well and want to know if any JCR would like to attend? They state that they want to have an intermural team in rugby.

OC informs Monte that sports and wellbeing will invoice us for intermural team.

Monte also state that Resident Support want to help them with their budget.

OC will talk to heads of residents support about helping JCR with budget. 

 

Jamie Wilson [JW] reports on behalf of Private Rented:

Private Rented had a meeting about an after Easter event, a RAG event (which will be game show themed) and a private rented Freshers’ pack.

OC mentions that it would be really good to go visit the other halls in order to get a feel for the other halls.

5. RAG Event

CP is present to discuss the RAG Jailbreak event that they are planning to have in May. She states that Chris Nash (External Engagement Coordinator) will be able to sort out all the logistics of this event.

Connaught JCR want to do participate and also want to discuss the possibility of hosting this event with other JCRs. CP to meet with the JCRs and discuss further. KI to send CP’s email to the JCR presidents.

6. Fresher Reps

OC informed the JCR committee the new structure that will be introduced this year for the Freshers’ Week representatives. There will be one senior rep who is then responsible for 7 reps. The normal reps will have to apply for the position. Senior reps will also have to apply but the application process for these representatives will be slightly more detailed. OC will update the committee with further details of the Freshers’ Week representatives.

7. Summer Event

OC states that for the last couple of years, over the summer period, the JCR have hosted a festival during the day and then an event in the evening. He wants to know if the JCR committee would like to do a similar event this year.

The committee would like to do this event.

8. Any Other Business

Jamie to post in JCR sports group about intramural team submissions. He asks that JCR inform their sports officers.

Monte wants to know if other JCR would like to join the playzone event as they don’t think students will want to do this without another halls added to the event.

OC states that they should write a list of event options to gauge interest.

Connaught asks Monte to inform their events officer about their joint Connaught and Montefiore event. OC asked for them to post on JCR events.

Connaught also asks for JCR to see if there is interest in creating a mixed hockey team within their halls.

Connaught wants any JCR to let them know if they would be interested in a social next week. They will post this idea in the JCR group.

OC states that SUSU will create a central program for Freshers’ Week which he will then present to committee. He will also invite Jenna Cox to come along to the next meeting so that she can inform the JCR about Freshers’ Week.
